Order Management Administrator

We are seeking a highly organized and detail-oriented Order Management Administrator to join our growing team in our Philadelphia office. As an Order Management Administrator, you will play a key role in managing the order process and ensuring seamless communication between customers and internal teams.
Key Responsibilities:
- You will be a part of a team that is responsible for the fulfillment of order processes, from order receipts to delivery. This includes quality control of contracts for final approvals and creating licenses.
- Issuing invoices, booking payments, and following up with customers for overdue invoices.
- Work closely with internal teams and customers to ensure timely and accurate order processing.
- Resolve any issues related to licenses, invoice corrections, or credits.
- Maintain and update order records, ensuring all necessary documentation is in place.
- Monitor order trends and work on improving efficiency in the order management process.
- Handling incoming mail and general office administration, including deposits of customer check payments.
- Maintaining customer records for tax purposes and ensuring all reporting is done correctly in Avalara. Serving as the main point of contact for Tax Authorities in the US. Coordinating the registration of the company in new states with our tax consultant and Avalara.
Qualifications and Requirements:
- Proven experience in order management within a SaaS business.
- Strong organizational and multitasking skills with great attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in order management systems, Microsoft Office Suite (Excel, Word), and/or ERP systems. Previous experience with Salesforce, Maxio, Avalara and Business Central is an advantage, but not required, as training will be provided.
- A problem-solving mindset with the ability to handle customer inquiries professionally.
- Ability to work under pressure and meet deadlines.
- The position requires working onsite 3 days a week in the Philadelphia office.
- You must have work authorization in the United States, as we do not offer visa sponsorship for this position.
